Overview

The mission of the Village Clerk’s Office is to assist the public in the election process, to facilitate licensing of businesses, vehicles and pets, and, to ensure public access to the Village’s legislative process and history by maintaining the records of the Village, including the Resolutions and Ordinances enacted by the President and Board of Trustees. The Village Clerk is charged with many duties as required by State Statute and Village Ordinance, including the following primary responsibilities:

Agendas & Minutes

The Village Clerk is responsible for overseeing the preparation and posting of the agendas for Village Board meetings, as well as attending the board meetings and other village meetings, and, for keeping records of the proceedings and preparing the minutes (written summaries) of the board meetings in compliance with state statute, and for the presentation of the minutes to the Board, in addition to publishing and archiving the Minutes after Board review and approval.

Record Keeper

The Village Clerk is also responsible for publishing and archiving Resolutions, Ordinances and Proclamations enacted or addressed by the Board, and certification of their authenticity. Resolutions and Ordinances that affect the rules or laws of the Village are then incorporated into the Village Code. The Clerk serves as the custodian and archivist of Village documents, and maintains all official Board records, certifications and the Village seal. The Clerk also attests to contracts of the Village and other documents.

Local Election Official

In addition, the Village Clerk serves as the local election official and registrar for voters. Residents may register to vote in the Village office Monday through Friday from 8 a.m. to 4 p.m. For more information about voter registration and elections, check out the Cook County Clerk’s website.

FOIA Officer

The Village Clerk is a Freedom of Information Act (FOIA) officer, and as such, is responsible for timely responses to FOIA requests for copies of records or documents maintained by the Village.

Overseer of Licensing & Permits

The office of the Village Clerk is responsible for permits for solicitors, block parties, parades and other special events, as well as licensing, including maintaining business licenses and renewals, vehicle and pet licensing, and presides over bid openings. All businesses operating in the Village must complete a Business License Application and remit the appropriate licensing fee, whether initial or renewals.
